This Privacy Policy explains how Trade Vehicle Parts collects, uses and shares your personal information when you visit tradevehicleparts.co.uk, buy from us, or contact us. It also explains your rights and how to exercise them.

For the purposes of UK data protection law, Trade Vehicle Parts is the data controller of your personal information. Our contact details are at the end of this policy.

The information we collect

  • Contact details — your name, billing and delivery addresses, email address and phone number.
  • Order and payment information — what you bought, order value, delivery method, and payment confirmation. Card details are handled by our payment providers; we do not store full card numbers.
  • Account information — your username, password and saved preferences, if you create an account.
  • Vehicle information — registration or vehicle details you enter to find parts that fit.
  • Communications — emails, calls and messages between you and us, including customer service enquiries.
  • Device and usage information — your IP address, browser and device type, and how you navigate the site, collected through cookies and similar technologies. See our Cookies Policy.

We collect this information directly from you, automatically as you use the site, and occasionally from service providers and partners who work on our behalf.

Our lawful bases for using your information

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and concluded that they are not. You can object to any processing based on legitimate interests — see “Your rights” below. If you object to direct marketing, we will always stop.

Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did before you withdrew it.

Who we share your information with

  • Shopify, which hosts our store and processes orders and payments.
  • Payment providers, who process your payment securely.
  • Couriers and delivery partners, so we can get your order to you.
  • Suppliers, where a part is despatched directly to you.
  • Service providers who work on our behalf, such as IT support, cloud hosting, email and analytics providers.
  • Advertising and marketing partners, where you have consented through our cookie banner.
  • Professional advisers, insurers and authorities, where we are required to share information by law or need to defend a legal claim.

We do not sell your personal information.

How long we keep your information

We keep different information for different lengths of time.

  • Order and transaction records are kept for at least 6 years after the end of the financial year they fall in, because HMRC requires this for VAT and tax purposes.
  • Account details and order history are kept for as long as you hold an account with us and we continue to trade with you. We do not currently delete accounts automatically after a period of inactivity.
  • Marketing contact details are kept until you unsubscribe. If you unsubscribe we keep a minimal record of your email address so that we can make sure we do not contact you again.
  • Customer service correspondence is kept while it may be relevant to your orders, any warranty or return, or a dispute.

If you would like us to delete information we hold about you, you can ask us at any time using the contact details below, and we will do so unless we are required to keep it for legal or accounting reasons. See “Your rights” below.

Your rights

You have the following rights over your personal information. They are free to exercise, and we will not treat you differently for using them.

  • Access — ask for a copy of the personal information we hold about you.
  • Rectification — ask us to correct information that is wrong or incomplete.
  • Erasure — ask us to delete your personal information, where we have no continuing reason to keep it.
  • Restriction — ask us to pause how we use your information while a concern is resolved.
  • Objection — object to processing based on our legitimate interests. If you object to direct marketing, we will always stop.
  • Portability — ask us to provide certain information in a portable format, or send it to another provider.
  • Withdraw consent — where we rely on consent, withdraw it at any time.

To exercise any of these rights, contact us using the details below. We will respond within one month. If your request is complex we may extend this by a further two months, and we will tell you if we need to. We may need to verify your identity before we act on a request.

You can opt out of marketing emails at any time using the unsubscribe link in any email we send you, without needing to contact us.

Complaints

If you are unhappy with how we have handled your personal information, please tell us so we can put it right. You can complain to us by:

We will acknowledge your complaint within 30 days of receiving it, look into it, keep you updated, and tell you the outcome as soon as we reasonably can — normally within three months.

Keeping your information secure

We take appropriate technical and organisational measures to protect your personal information. No system can be guaranteed completely secure, so please do not send us sensitive information through insecure channels.

International transfers

Some of our service providers are based outside the UK. Where your information is transferred outside the UK, we make sure it is protected by an approved safeguard, such as the UK International Data Transfer Agreement or Addendum, or by a transfer to a country the UK has decided provides adequate protection.

Children

Our website and products are not aimed at children, and we do not knowingly collect personal information about them. If you believe a child has given us their information, please contact us and we will delete it.

Signing in with a third-party provider

If you choose to sign in using a provider such as Google or Facebook, that provider shares your email address with us so we can create or access your account. We use this only to authenticate you and manage your account, on the basis of our legitimate interest in providing a secure and convenient login. We do not receive or store your password. Your use of that provider remains subject to its own privacy policy.

We may update this policy from time to time. When we do, we will update the date at the top of this page.
